A FEW HELPFUL ANSWERS
Questions before
you take part?
Joining, guests, roles and organising—explained in plain English.
Getting started
What is GatherBridge for?
GatherBridge helps clubs, sports groups, charities and communities organise activities, event programmes and roles. Participants use one account to manage commitments across organisations. GatherBridge remains the working name.
Do I need an account to use it?
You can browse help, fictional demos and deliberately published public event listings without an account. Actual joining, registration, role actions and notes currently require sign-in. A signed-in participant can also manage eligible reservations for separately named guests. Attendance using only a link without login is a proposed next feature, and is not enabled.
How do I join an organisation?
Ask an organiser for an organisation invitation, then open its link, scan its QR or enter the code after signing in. Confirm joining to become a member. Eligible activity and event invitations also offer a separate explicit organisation-joining action. An invitation view or QR scan never joins automatically.
Are the demo events real, and can I book one?
No. Every event in the public demo catalogue is fictional, with deliberately chosen November 2026 dates, example organisations and invented venues. The catalogue has no booking, payment or role reservation action, and includes no private portal data.
Guests and roles
Can I attend without joining the organisation?
Yes, where the organiser allows guests and you have access to that activity or event. Sign in and choose the event-only route. This does not make you an organisation member or give you access to its private profile and member list. Admission, acknowledgements and tickets still apply when configured.
Can I bring guests and choose roles for them?
Guest-enabled activities and events support both a guest using their own account and a participant adding a named guest. Each named guest has a separate identifier and role allowance. A named reservation does not create an account or verify the guest’s identity. Personal tickets and required document acknowledgements need their own account.
What happens when I choose a role?
For self-selection, a successful claim confirms the role straight away. An approval-based request waits for a manager and does not occupy the slot. A manager offer reserves the slot until accepted, declined or cancelled. The available route is determined by the activity’s saved allocation rules.
Can one person take several roles?
The organiser chooses a maximum, or allows unlimited roles. Pending requests, pending offers and confirmed roles count towards the allowance for each person or named guest. For an event programme, the allowance spans its sessions. Lowering the allowance preserves existing confirmed commitments.
How do I withdraw or cancel my attendance?
Use Withdraw on the role before the activity ends. Use the event registration or guest activity withdrawal control to cancel that participation, and cancel a named guest through your guest controls. A non-member’s registration cancellation releases their future roles and sponsored reservations; a member’s own roles and event registration remain separate choices. Past completed history is retained.
Can participants add notes?
Yes. Current signed-in participants can add a plain-text note to that activity or event. Other permitted participants and organisers can read it; organisers can add a note once they also participate. Each author edits or deletes only their own note. After cancellation, editing closes; authors retain their own read and delete access. Avoid putting private or sensitive information in a shared note.
Organising and sharing
Who can create an organisation or organise an event?
A signed-in person can create an organisation and becomes its owner. Active owners and managers manage its activities, events and invitations. Owners can archive a group after its published future events have ended or been cancelled, and restore it later. Managers can delete unused non-recurring drafts; published items retain cancellation history. A chair, speaker or player assignment does not make that person a manager.
How do invitations and QR codes work?
Owners and managers create scoped invitations for an organisation, activity or event. A link, QR and manual code refer to the same expiring, revocable invitation. Share it through your chosen channel yourself; the app does not send live invitation emails. A personal ticket QR is an admission credential and is different from a shared joining QR.
Can I create repeating meetings?
Yes. Organisers can use weekly or monthly recurrence, including ordinal weekdays such as the second and fourth Thursday. Holiday exclusions are editable and separate from the repeat rule. A Christmas break is never inferred automatically; review its dates before enabling it. Each generated occurrence keeps its own activity identity and commitments.
Can I download or print the agenda?
Yes, from an activity or event where you have current permitted access. Download the agenda as an Excel workbook or open its printable view. Yellow marks vacant roles, and pending offers are shown separately. Individual role times that have not been recorded remain blank. Historical personal access does not expose the complete current shared agenda.
How does completion history work?
The dashboard separates planned participation from manager-recorded completion. After an activity, an authorised manager records whether a confirmed role was completed. The date passing does not record attendance automatically, and roles reserved for a named guest do not count as the sponsor’s own completed contributions.
Location, payments and privacy
Can I find real events near me?
Use Discover or the homepage search for real programme events organisers have explicitly listed publicly. Search by keyword, town, category and date; optional browser location finds in-person listings with supplied coordinates and shows online listings separately. Search coordinates are sent for that request and are not saved to your profile. Private events and standalone activities are not listed automatically. The separate Demo events page contains fictional examples only.
Why does the demo ask for my location?
It only asks when you press Use my location. Location is optional, and you can choose one of the example towns instead. Coordinates stay in page memory for approximate distances, are not sent to the backend or stored in browser storage, and Reset filters clears them. Online examples appear separately and are not filtered by distance.
Can organisers take payments through the app?
Organisers can display manual payment instructions, bank details and an external payment link. The app does not verify external payments or automatically issue admission from them. Integrated paid checkout and refunds remain disabled while seller, charge model, refund responsibility, fees and test-provider configuration are unresolved. Free RSVP and configured free tickets are separate from paid checkout.
Can I join the organiser’s WhatsApp group?
If the organiser supplies a valid group invitation link, the event page shows a joining link and QR. Opening it takes you to the organiser’s WhatsApp invitation. Scanning does not automatically join the group, and GatherBridge does not read or send group messages.
Who can see my participation?
Your combined personal dashboard and contribution history are private to your account. Organisation managers see permitted records for their own organisation. Current activity or event participants can see that context’s permitted roles and notes. Guest access does not disclose private organisation contacts, membership lists or unrelated participation.
